OnboardCentric Item Categories: Documents, Tasks, Forms, & Docu-forms

OnboardCentric works off of the notion that items (read: things to do) fall into one of the following categories: Documents, Tasks, Forms, and Docu-forms.  Here is an overview of these key items.

Documents

Documents are items that you would like a new hire to read and sign. They contain NO fields to be populated.  Documents may or may not require a follow-up countersignature by an internal staff member, after the new hire has signed them.  Also, documents may require no signature at all - simply an acknowledgement that they’ve been read by the new hire.

Documents should always be loaded into OnboardCentric as a PDF.  Any Administrator user of the platform has the ability to load these items into the system.

Examples of documents are: social media policies, holiday calendar, paid time off policies, etc.

Tasks

Tasks are items that you would like a new hire to do. These items require that you title them in a way so that the new hire understands what is being asked of him or her.  They may instruct the new hire to do something, schedule a meeting with someone, or they may contain a link to another website.  Tasks do not require signatures or paperwork associated with them.

Tasks can be loaded into OnboardCentric by any Administrator user of the platform.

Examples of tasks are: schedule meeting with your mentor, test your front door key, watch the About Us video, etc.

Forms

Forms are items that require information to be placed into various fields.  The information in forms may come from data input by the new hire for that particular form (i.e., withholding status or number of allowances for W4 form), or it may come from the core demographic data gathered from new hires when they first log into the system (name, email, SSN, DOB, etc.).
Forms may or may not require a signature by the new hire.  Likewise, they may or may not require a followup countersignature by an internal staff member, after the new hire has signed them.

Forms can only be loaded into OnboardCentric via the ExactHire Programming Team.  Our programming team will design custom input screens for each form to collect any data not already in place to that point.  Those data elements gathered in the custom input screen are then combined with existing demographic data gathered earlier in the process.  From there, all data elements are then mapped so that they populate the appropriate fields on that given form. Due to the time involved in this process, there is a charge associated with adding forms to an existing OnboardCentric site.  

Examples of forms are: t-shirt order form, direct deposit form, EEO-1 form, etc.

Docu-forms

Docu-forms are items that combine properties of both forms and documents.  They are forms in the sense that they require fields to be populated with information specific to the new hire.  But, they are documents in the sense that the fields being populated require no custom input by the new hire.  Docu-forms may or may not require a signature by the employee.  Likewise, they may or may not require a follow-up countersignature by an internal staff member, after the new hire has signed them.

Docu-forms can only be loaded into OnboardCentric via the ExactHire Programming Team. While there are charges associated with adding Docu-forms to an OnboardCentric site, the charges are typically less than a form, as no custom input screen creation is needed.

Examples of Docu-forms are: non-solicitation form, emergency contact form, etc.
